Actions
Let your AI agent do things for customers - book a meeting, log a lead, take an order - not just answer questions.
Actions let your AI agent carry out real tasks for a customer inside a conversation: book a meeting on your calendar, log a lead to a spreadsheet, take an order, or call your own system. The agent collects the details it needs, reads them back for confirmation, and then runs the action.
Actions are available on Pro (or any plan with the API access add-on).
How an action works
- You define an action once, in Settings → Actions - what it collects and where it sends the result.
- On a bot's AI agent step, you turn on "Let the agent take actions."
- In a conversation, when a customer wants something the action covers, the agent asks for each detail, shows a summary, and (if you've asked it to) waits for the customer to confirm.
- The action runs, and the agent tells the customer it's done.
Creating an action
Open Settings → Actions → New action and fill in:
- Name - a short name for the task, like "Book a meeting". The agent uses this as the tool it can call.
- Description - when to use it, for example "Use when the customer wants to book or schedule a meeting." Make this clear; it's how the agent decides to reach for the action.
- Fields - the details to collect. Each field has a label, a type, and whether it's required:
- Text, Email, Phone, Number, Date, Date & time, or Choice (a dropdown with options you set).
- Destination - where the result goes (see below).
- Ask the customer to confirm before running - recommended. The agent reads the details back and only runs the action once the customer clearly agrees.
Destinations
Webhook
Sends the collected details as a signed POST to an https:// URL you own, so your own system can handle it. Add an optional signing secret to verify the request came from OonoBox.
Emails the collected details to an address you choose - handy for routing a lead or booking to your team.
Google Sheet
Appends a row to a Google spreadsheet. Connect Google first (from a Google Sheets step in the bot builder), then paste the sheet link. Add a header row that matches your field labels so the columns line up.
Google Calendar
Books an event on your Google Calendar.
- Connect Google first from a Google Sheets step in the bot builder. If you only linked Sheets before, reconnect once so calendar access is granted.
- The action must include a Date & time field - that's when the event is booked. An email field, if present, is added as a guest.
- Set the event length (default 30 minutes) and, optionally, a specific calendar ID (otherwise your primary calendar is used).
- The Google Calendar API must be enabled in the same Google Cloud project as your OonoBox Google connection (it's separate from the Sheets API).
Turning actions on for a bot
Actions only run when the bot's AI agent is allowed to use them:
- Open the bot in Automations and select the AI agent step.
- Turn on "Let the agent take actions."
- Make sure the step's model is a Claude model - actions run on Claude.
- Save and re-publish the bot.
Good to know
- Confirmation keeps things safe: with confirm on, the agent never books or orders without the customer's clear yes.
- Repeats are handled - if the same request comes through twice, the action runs once, not twice.
- Failures are graceful - if an action can't complete, the agent says so and can hand off to a person rather than pretending it worked.
